Strategic Goal Tracking System for a consulting company
Is an innovative organization providing technology leadership through a team of skilled, location-independent tech leaders.
The company focuses on:
- Teaching CTOs and CIOs the principles of building strong, data-driven technology departments along with the sales and marketing strategies
- Connecting Fractional CTOs with the businesses in need of a CTO
The problem
The company aimed to provide an efficient and user-friendly goal management system for their CTO training.
While initially the client requested only a replication of the current system, numerous improvements were implemented along the way.
The Solution
Due to Notion's database permission limits, a Wiki-based personal goal tracking template was created.
The page consists of 4 core databases:
- My Profile: A personal space for CTOs to add their headshot, name, Kolbe A results, mentorship start date, and view their progress through a task completion bar.
- My Objectives: A streamlined database that provides CTOs with a clear overview of their key program objectives.
- Goals: Based on the Excel system, goals are organized into timeframe groups with specific tasks. An automation calculates and sets due dates for each section using the
Start dateproperty from the related CTO's profile. - My Tasks: A detailed breakdown of actionable steps toward goals. Multiple views offer different perspectives: overdue tasks, a roadmap similar to a Gantt chart, a monthly calendar of due dates, and high-priority tasks.
To ensure CTOs can easily signal when they need assistance, a database automation was implemented in the "My profile database". This automation sends a simple Notion notification to the program coordinator whenever a CTO's status changes to "Need help" .
